Temporary HR Assistant

Department: Admin & Clerical
Location: Newark, NJ

Under the general supervision of the Human Resource Management Director, this Temporary non-exempt position will provide assistance for the Human Resource Management department in accordance with established policies, procedures, employment regulations and contracting agency requirements.

Required Knowledge, Abilities and Experience:

  • Answering incoming telephone calls timely, professionally and accurately

  • Assisting in the administration and implementation of all employment processes

  • Providing general clerical support for the Human Resource Management Department

  • Updating personnel, training, medical and ACA files

  • Assisting with the recruitment process, phone screening, scheduling interviews and new hire orientation

  • Administration of an on-line timekeeping system (Paylocity)

  • Assist with pre-employment clearance requests, background checks and any related employment correspondence

  • Preparing new hire packets

  • Assisting in the preparation of biweekly employee time-reports for payroll

  • Maintaining and updating applicant tracking log and performance appraisal spreadsheet

  • Assisting with the coordination of employee engagement activities

  • Distributing and posting internal company communications

  • Participating in staff training and development sessions

  • Maintaining clearance through contracting agencies

REQUIRED KNOWLEDGE, ABILITIES AND EXPERIENCE:

Knowledge of:

  • Accepted principles and practices of Human Resource Management;

  • Modern Computer technology including MS office (Word, Excel, Power Point, Access, ADP, etc.)

  • Accepted business communication and protocol

Ability to:

  • Work under pressure independently and within a team environment;

  • Handle multiple priorities and deadlines simultaneously;

  • Handle heavy typing, heavy incoming calls and occasional driving;

  • Demonstrate excellent interpersonal, organizational and follow up skills;

  • Demonstrate high degree of professionalism and confidentiality;

  • Communicate effectively verbally and in writing;

  • Generate correspondence (i.e. memos, letters, etc.)

Work and Academic Experience:

  • An associate degree with one year's experience in Human Resources or three years' administrative experience in Human Resources required.
